For verification purposes, we may ask for a dated, double-signed copy of ID of the main account holder when any request is made for a 'service-affecting/service terminating' change.
Why do we need that?
Because once we start such a service affecting process there is no way to stop or reverse it again and we need to prevent any unauthorised person requesting it for your service(s) without you knowing about it or wanting it to happen.
What do we need in such a case?
A dated & Double-signed copy of Passport (all relevant pages if more than 1) or equivalent*.
Make sure the picture/info page + the signed page are there) or National ID card (both sides) of the authorised company representative.
What does that mean?
Sign and date a white sheet of paper with a different colour pen and scan that with your ID on it too so we can see both the ID and the extra signature.
If you don't have a scanner handy, no problem, as in that case you could take a picture of the sheet + ID with your smartphone and send us that picture.
Why double signed?
This way we can verify that the ID belongs to someone that was actually present when the order was placed (and not just a scan that was possible captured or abused).
If You have concerns about security, please know that the upload facility is secure and only we can check the documents for verification.
If you still have security doubts, you can (but this will increase processing time):
- Log in to the Clientarea and go to the relevant ticket to add both your reply and the document(s) in a secure environment.
- Send us the document(s) in an encrypted zip and send the password in a separate mail or by notifying us via the ticket in the Clientarea again.
How does that work?
Sign and clearly cross out the 2nd/double signature (as long as the signature is verifiable still) and send it in an encrypted zip to verifydocuments@voyced.eu.
Add the ticket number if you already have an open ticket that this belongs to, that way we can easily and quickly match it to the correct request.
Send us the password to the zip file separately.
You can even take a picture with a smartphone, if that makes it easier, a scanner is not even needed at all in such a case.
We assure you that we have no other intention for that double signature apart from verifying the validity of the request.
This way we can verify that you are who you are and that you are indeed authorised to make the request (rather than a disgruntled employee or competitor).
* Proof of identity for individuals can be any of the following:
- Current signed passport (UK, EEA, world)
- National identity card of an EEA member state (EEA)
- Current photocard driving licence (UK, EEA, world)
- Full old-style driving licence (UK)
- Residence permit issued by the Home Office to EEA nationals on sight of own country passport (UK)
If none of the above is available we may be able to accept one of the following but checks will take longer:
- Photographic registration cards for self-employed individuals
- National identity card bearing a photograph of the applicant (Non-UK or EEA)
We follow the UK Governments suggestion for identity checks (with a few exclusions): https://www.gov.uk/government/publications/proof-of-identity-checklist/proof-of-identity-checklist
We need to verify your identity to ensure that unauthorized individuals (even competitors) can't affect your services on your behalf.
This is why verification is only required at two key points: at the start of your service (in compliance with KYC/KYB laws) and when a service-affecting request, like a termination, is made.
