Voicemail. How to best set it up and how to access it?

Each number or account on the Hosted IPPBX can have its own voicemail setup.
You can choose to forward messages to your email or access them by calling in.
We recommend setting it up through the web interface, as it gives you more control and flexibility.

Two ways to manage your voicemail

 

1. Recommended: Forward voicemail to your email

This method automatically sends each voicemail to a designated email address as a sound file attachment.

Benefits:

  • You receive messages instantly, wherever you are

  • Your voicemail inbox will never fill up

  • You can forward the message to others without repeating it

  • You get the exact tone and words of the original message

To set it up:

  1. Log in to the Hosted IPPBX

  2. Click Cloud IPPBX, then the wrench icon next to the number you want to manage

  3. In the next screen, click the Cloud PBX tab (top left should show the number you're configuring)

  4. On the left menu, expand Voicemail and go to Voice Menu

    • Set a good, memorable password (needed for security even if unused)

  5. Go to the External Mail tab and configure:

    • Email: Enter the email address to send voicemails to

    • Action: Select "Forward as attachment"

    • Format: Choose MP3 for small file size and wide compatibility

  6. Go to Greetings to:

    • Upload your pre-recorded voicemail greeting

    • Select the greeting type

✅ That’s it. Voicemails will now go straight to your inbox as attachments.

 

2. Use your phone to manage voicemail (alternative method)

You can also manage most voicemail settings directly from a phone connected to the number.

Simply:

  • Pick up the phone

  • Dial 1233 (the default voicemail access number)

  • Follow the spoken menu to:

    • Record your outgoing message

    • Change your voicemail password

    • Listen to or delete messages

This is easy and quick, but:

  • You can only manage the voicemail tied to that phone’s number

  • You cannot configure email forwarding from the phone interface

  • Audio quality may vary depending on the phone and connection

So while possible, we still recommend using the web interface for full setup and better control.

 

How to set up voicemail so you call in to manage and listen

If you prefer the traditional method, where voicemails stay on the server and you call in to listen, here’s how:

  1. Log in to the Hosted IPPBX

  2. Click Cloud IPPBX, then the wrench icon next to your number

  3. Go to the Cloud PBX tab for that number

  4. On the left, open Voicemail > Voice Menu

    • Set a strong numeric password (minimum 6–8 digits)

    • Enable "Always ask for password" if you want extra security even from your own device

  5. Leave the 'External Mail' tab empty (no email forwarding)

  6. Go to Greetings

    • Upload and assign your pre-recorded voicemail greeting

Now you can dial in to access your voicemail messages securely, from anywhere.

 

Accessing your voicemail

  • From a Voyced-connected phone: Dial 1233

  • From any external phone: Call +44 20 3500 1434

    • Enter your number and voicemail PIN when prompted

Reminder: You cannot leave yourself a voicemail from your own device. Use a mobile or another phone to test.

 

Recording a professional voicemail greeting

  1. Write your script and review it with colleagues

  2. Practise until it sounds clear and natural

  3. Record it using a good microphone

  4. Trim any silence before/after the message

  5. Save it in MP3 or WAV format

1. General Business Voicemail

Hello, you’ve reached [Your Company Name].
We’re not available to take your call right now.
Please leave your name, phone number, and a brief message after the tone, and we’ll get back to you as soon as possible.
Thank you for calling.

 

2. Technical Support Line

Thank you for calling [Your Company Name] Support.
All our agents are currently helping other clients.
Please leave your name, number, and a short description of your issue.
We’ll prioritise your message and respond as soon as we can.

 

3. After-Hours Voicemail

You’ve reached [Your Company Name].
Our office hours are Monday to Friday, 9am to 5pm.
If you’re calling outside these hours, please leave a message with your name, number, and reason for calling.
We’ll get back to you the next working day. Thanks for getting in touch.
