Setting up your VoiceMail such as your outgoing message, etc

You can set up your voicemail in two different ways, depending on what works best for you.
Both allow you to create or change your outgoing message, manage greetings, and adjust voicemail behaviour.

 

1. Recommended method: Online setup via the Hosted IPPBX

This is the most flexible and reliable way to set up your voicemail, especially if you manage multiple numbers or need high-quality greetings.

Step-by-step:

a) Record your message manually

Use a computer with a microphone to record your message. This gives you full control over:

  • Audio quality

  • Message length

  • Tone and delivery

b) Upload and manage voicemail settings

Log in to your Hosted IPPBX account and:

  • Go to: Cloud PBX / IP Centrex Phone Lines

  • Select the number you want to configure (click the little wrench symbol in front of that number)

  • Go to: Cloud PBX / IP Centrex > VoiceMail > Greetings
  • Upload your custom message or set system-generated options

2. Alternative method: Configure directly from your phone

If you prefer a simpler approach or want to set up voicemail quickly:

  1. Pick up your VoIP phone

  2. Dial 1233 (this is the default number for voicemail access)

  3. Follow the spoken menu to:

    • Record your outgoing message

    • Change message playback settings

    • Manage voicemail options

This method is quick and easy, but it has limitations:

  • You can only change the voicemail settings for the number assigned to that phone

  • You cannot set up Voicemail-to-Email from the phone interface

  • Audio quality will depend on your phone and internet connection

 

Things to keep in mind

  • If you're calling voicemail from a phone connected to our Hosted IPPBX, you will only access that phone’s own voicemail

  • To leave a test message, you must call the number from a different device (e.g. another phone or mobile), you can’t leave a voicemail to yourself from your own number

  • We highly recommend using Voicemail-to-Email for faster and easier access to messages
